Privacy Policy

Who this covers

This policy covers visitors to this website and the companies and people who use Bid & Sign. When a contractor uses Bid & Sign to send an estimate, that contractor decides what customer information goes into it; we process it on their behalf and only to provide the service.

What we collect

  • Account details: your name, email, company name and the settings you enter.
  • Business content: customers, projects, estimates, attachments, signatures and schedules you or your team create.
  • Signing records: when a customer signs, we record their name, the time, their IP address, their browser, and a fingerprint of the document.
  • Website analytics: page views, referring site, campaign tags and Core Web Vitals. We don't use advertising or analytics cookies. Visitors are counted with a one-way identifier that changes every day, so we can't follow you across days or sites.

How we use it

To run the service, send the emails you ask us to send, secure accounts, provide support, and understand which pages and features are useful. We don't sell personal information, and we don't use your business content to train AI models.

Service providers

  • Amazon Web Services: database hosting (United States).
  • Twilio SendGrid: delivers the emails the service sends.
  • Stripe: payment processing, once you subscribe. We never see your full card number.
  • Cloudflare Turnstile: bot protection on signup, when enabled.
  • Esri: satellite map tiles, loaded only when your staff use the site map tool.
  • AI providers you connect yourself (such as Anthropic or OpenAI): they receive only the content you send through an AI feature, under your own agreement with them.

Retention and your choices

Your company's data stays as long as your account does. We'll export it for you on request. When an account is deleted, its data is removed from production systems within 30 days and from backups on their normal rotation. To access, correct or delete personal information, email support@bidandsign.com.

Changes

If we change this policy in a meaningful way, we'll update the date above and notify account owners by email.
